Job description

Eden develops technology to address the current challenges across resource extraction industries with novel and groundbreaking ideas that reduce costs and environmental effects of current reservoir stimulation practices. Our goal is to offer a sustainable solution that reduces or eliminates water use, underground water contamination, wastewater production, air pollution, and induced seismicity associated with current hydraulic fracturing methods. To date, the company has secured funding from National Science Foundation, MIT, MassCEC, ARPA-E, Ameren and other VC and industry investors.

We are looking for a full-time administrative assistant to maintain and organize company documents, handle purchasing and invoicing, assist with routine documentation. Below are the list of roles & responsibilities, qualifications, and skills. Perform hiring and onboarding paperwork, and assist with payroll and reimbursements through Gusto.

Manage Accounts Payable and Accounts Receivable.

Maintain and organize company expense documents and receipts.

Prepare and monitor purchasing requests, shipping, and invoicing.

Manage travel arrangements for the team such as booking flights, cars, hotels, and restaurant reservations.

Maintain records of employee timesheet, vacation and out of office days.

Place orders for office and field supplies.

Prepare communications, such as memos, emails, invoices, reports, and other correspondence.

Write and edit company communication documents from letters to reports and instructional documents.

Take meeting minutes as needed.

Work closely with the operations and engineering teams based in Houston to assist in filing paperwork, reports, and documentation across all aspects of the business.

Assist with proposal submissions.

Act as a point of contact for external clients and partners such as: taking calls, receiving emails and letters, scheduling meetings, and managing visitors to our Houston office.

Help implement new programs, procedures, methods, and systems for document organization.

Requirements

Education & training:

BS in business administration or similar

Required Experience and Expertise:

Minimum 5 years of experience in administrative assistant roles is required

Experience with Accounts Payable, Accounts Receivable is required

Proficient in MS Office Suite

Preferred qualifications and competencies:

Experience in QuickBooks, payroll (Gusto), employee benefits, and corporate taxes

Administrative writing skills

Attention to detail and problem-solving skills

Some knowledge of renewable energy industries is preferred

General requirements:

Excellent time management skills and the ability to prioritize work

Excellent written and verbal communication skills

Strong organizational skills with the ability to multitask

Knowledge of office management systems and procedures
