Job description

After training is completed, candidate will be working a hybrid schedule (at least 1 day on site, and 4 remote).

Description:

This role provides administrative support to AHM Law & IP BU, specifically, Contracts Department.

Minimum qualifications:

  • AA Degree preferred but not required.

  • At least 3 years of admin assistant experience and/or at least 2 years of experience working in a low office or corporate law department.

  • Time management skills, flexibility, and attention to detail are essential.

  • Excellent oral and written communication skills.

  • Proficiency with MS office.

  • Ability to understand and work with different computer databases.

  • Be highly organized and complete tasks efficiently and within prescribed deadlines.

    General Duties (70%)

    1.Produce and distribute correspondence (filing, data entry).

    2.Set up and administer legal matters in matter management system.

    3.Matter tracking: run report and organize data from matter management.

    4.Organize and schedule meetings and appointments.

    5.Book travel arrangements.

    6.Submit and reconcile expense reports.

    7.Prepare presentations and reports.

    8.Litigation tracking (including charges); manage deadlines and send reminders.

  • Projects: (20%) participate in the planning and execution of assigned Law & IP Unit projects.

  • Back Up: (10%) provide back assistance to other admin assistants.
