Job description

Temporary position starting in October 2024, ending in April 2025. The ideal candidate will have a minimum of 5 years of administrative experience, preferably in financial services, and thrive in a fast-paced environment. This role requires a keen sense of urgency, excellent multitasking skills, and a positive, proactive attitude.

Description

  • Manage complex calendars, schedule meetings and calls, and resolve scheduling conflicts with efficiency and clear communication.
  • Act as a gatekeeper for executives, ensuring optimal use of time by proactively managing schedules.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation.
  • Manage expense reporting and reimbursement processes, ensuring compliance with company policies.
  • Liaise with other administrative assistants to schedule meetings, provide backup support when needed, and collaborate on special projects.
  • Coordinate and support special projects and cross-functional initiatives, as well as team meetings and events.
  • Perform ad hoc tasks and projects as required, while maintaining confidentiality of sensitive information.

Profile

  • Minimum 5 years of administrative support experience, preferably in financial services.
  • Ability to prioritize tasks and pivot efficiently between them in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Teams), video conferencing tools (WebEx), and Concur or similar travel/expense management systems.
  • Excellent organizational, time management, and communication skills (both written and verbal).
  • Proven ability to manage confidential information with discretion.
  • Strong collaborative and teamwork attitude.

Skills and Experience:

  • Required Skills: Administrative support, financial services, time management, Microsoft Office Suite (Excel, PowerPoint, Outlook), scheduling, video conferencing, travel arrangements.
  • Additional Skills: WebEx, excellent communication skills (written and verbal), experience in governance.
