Job Summary:

The Accounts Payable Inventory Auditor will be responsible for conducting audits of inventory-related transactions within the Accounts Payable (AP) process, ensuring accuracy, compliance, and proper valuation of inventory, and performing 3-way matching of invoices and purchase orders.

Supervisory Responsibilities:

Duties/Responsibilities:

  • Reconciles inventory-related AP transactions, investigates and resolves any discrepancies or variances identified during the audit process, and coding the specific discrepancies to the correct pre-defined general ledger accounts.
  • Conducts audits of inventory-related transactions within the AP process to ensure accuracy, completeness, and compliance with company policies.
  • Verifies invoices for inventory purchases against purchase orders, receiving reports, and other supporting documentation.
  • Confirms the accuracy of inventory quantities received and invoiced at stores, investigates any discrepancies, and ensures proper reconciliation.
  • Validates the accuracy of unit prices and pricing terms on invoices, ensuring consistency with purchase agreements and vendor contracts.
  • Verifies vendor compliance with pricing agreements, discounts, and terms negotiated by the purchasing department, addressing any discrepancies or issues.
  • Reviews and maintains documentation related to inventory purchases, including purchase orders, invoices, receiving reports, and vendor contracts, ensuring completeness and accuracy.
  • Identifies opportunities for process improvements and efficiency enhancements within the AP inventory auditing function and collaborates with cross-functional teams to implement best practices.
  • Prepares audit reports summarizing findings, recommendations, and corrective actions taken to address issues, and communicates results to management and relevant stakeholders.
  • Collaborates with departments to resolve issues and streamline processes.
  • Attends and participates in team meetings and training sessions.
  • Performs other related duties as assigned.

Required Skills/Abilities :

  • Strong understanding of inventory principles and problem-solving skills.

  • Excellent attention to detail and accuracy.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Ability to work collaboratively with cross-functional teams.
  • Proficient with Microsoft Office Suite or related software.
  • Must meet driver's license requirements as required by the company.
  • Occasional travel with overnight stays.

Education/Experience

  • High School diploma or GED required, associate's degree in business preferred.

  • Experience in inventory auditing/ management, with focus on AP and inventory processes.
  • Familiarity with GAAP and Accounting regulations.
  • Experience with ERP systems such as Workday, preferred.
  • Experience with content management solutions such IBM Content Manager.
  • Certified Accounts Payable Associate (CAPA) or Certified Accounts Payable Professional (CAPP) preferred.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

  • Must be able to occasionally lift up to 25 pounds at times.
  • Standard office hours apply with occasional overtime during month-end or peak periods.
