Today, We Are Looking For The Events Production Manager has both live and virtual event and meeting experience and works in a team environment to support the development, production, execution, and evaluation of Partnership events. This position requires the ability to work smart in a fast-paced, high-pressure, nimble, and customer service-centered environment while also being an enthusiastic team player with high integrity and diplomacy. The scope of work for this position includes event project management, onsite lead and event production, stage management, speaker and talent acquisition, and preparation and development of timelines and budgets. You will contribute to the creation of meaningful and impactful experiences that increase Partnership brand awareness by propelling our mission forward, increasing revenue, and driving member engagement while delighting audiences. Primary Duties and Responsibilities The following responsibilities are essential to job performance: Act as team lead and project manager of a portfolio of assigned live, hybrid, and digital event experiences for the Partnership. Support in the production of the Partnership's full package of event products including webinars and seminars, branded State of series, fundraisers, and high-profile event experiences. Create, maintain, and monitor required event documents including but not limited to project outlines, event briefing packets, invitations, agendas, technical scripts, talking points, post-event surveys, promotional items, insurance, etc. Manage vendor activity and relationships for assigned projects, also negotiate fees and contracts with respect to individual event venues, catering, rentals, digital services, etc. by adhering to approved budgets. Collaborate on event vision and objectives, speakers and content, marketing, and sponsor outreach to ensure a consistent brand message, audience reception/interest, and a well-attended, successful event. Research and recommend locations and event formats, platforms, and technology that align with objectives to ensure project goals and milestones are met. Work with the sponsorship director to creatively identify event-specific sponsorship opportunities with sponsor objectives in mind and determine appropriate benefits. Manage in-house and third-party production partners to develop and successfully execute events and experiences. Conduct briefings, and pre-planning meetings as needed to ensure an understanding of stakeholder expectations. Conduct and develop a written record of post-event briefing materials to review event successes, feedback, and recommendations for the future. Additional planning, and logistics support for other Partnership divisions including but not limited to special employee occasions, missions, site visits, FAM Tours, receptions, and conferences. Perform digital meeting event set-up and logistics, providing operational support and navigation of forward-facing and back-end functions including virtual meetings, webinars, live streamed, simulcast, and pre-recorded meetings. Analyze event performance, financials, and member involvement and preparation of debriefing materials. Problem-solve and identify operational challenges associated with his/her team and work with appropriate staff and vendors to solve these challenges and/or develop alternative solutions. Assist with implementing, monitoring, and maintaining market plans, procedures, and policies to ensure the Partnership continually strengthens its competitive edge. Support the creation and distribution of digital materials for promotion. Assist in daily department operational and administrative functions (phone, email, data entry, and mail) to ensure specific projects are delivered efficiently. Identifies operational challenges associated with his/her group and works with appropriate staff and vendors to solve these challenges and/or develop alternative solutions. Ensure consistent Partnership brand messaging. Support and act on behalf of event management in his/her absence. Adheres to all standards, policies, and procedures. Proactively suggest opportunities to reuse, repackage and optimize event content throughout the year to maximize return on the company's event content investment. Work with event content leads (cross-departmentally) to determine high-impact content assets and related experiences to meet stakeholder objectives and provide a consistent brand experience. Knowledge, Skills, and Abilities The following knowledge, skills, and abilities are desirable for job success: Energetic and passionate about Houston Live event, hospitality, and meeting management experience Experience with event management systems (CVENT), project management systems (Basecamp), and digital meeting platforms (Zoom, Webex, Google, etc.) required. Flexible and agile project management required - with the need to prioritize projects at various stages, and handle assignments and requests promptly and proactively. Follow-through on projects to successful completion, often with deadline pressures. Copywriting, and copyediting proficiency Demonstrated interpersonal skills such as diplomacy, patience, empathy, and politeness. Demonstrated ability to work in a fast-paced, deadline-oriented environment. Solutions-oriented and ability to problem-solve. Flexibility, ability to change direction and re-prioritize in response to changing situations. Prioritize conflicting needs; handle tasks and requests expeditiously and proactively; and follow through on projects to successful completion, often with deadline pressures. Demonstrated ability to work with all levels of both internal and external contacts. Ability to professionally work with diverse groups of people. Ability to coordinate, engage and fully utilize member expertise. Ability to exercise mature judgment and tact. Ability to work in a team environment and share tasks. Ability to attend work-related functions off-site, as required. Flexibility to work some overtime, as necessary. Proficiency in Windows, Microsoft Word, PowerPoint, Excel, Salesforce, and Outlook Ability to travel when required. Education Requirements Bachelor's degree preferred including a preference for a certification in event and meeting planning or relevant experience. Relevant degrees and certificates include Bachelor of Arts (BA), Certified Special Event Professional (CSEP) designation, the Certified Meeting Professional certification, and the Certified Meeting Planner (CMP). Required Experience Minimum of 5 years of experience in all aspects of developing and managing events and meetings or in a related field, such as marketing or conference services. Physical Requirements Good vision and hearing acuity (with adaptive aids if necessary). Manual dexterity and skillful use of computer keyboard. Physical exertion includes bending, pushing, standing, and walking. Must be able to move or lift approximately 25 pounds on occasion. Mental and Aptitude Requirements Job requires the ability to hear, see, and talk; analytical, conceptual, problem-solving, planning and decision-making skills.
