We are currently Administrative Assistant with a minimum of 1-4 years of progressive administrative experience in the engineering, architectural or construction industries. The candidate will have a strong Financial Background with self-initiative and will be responsible for providing administrative support as part of a Construction Management and Inspection Team supporting multiple locations.

Responsibilities:

  • Managing, organizing, and maintaining the Department's contract files both paper and electronic.
  • Composing and editing correspondence, reports, and proposal documents.
  • Creating and editing PowerPoint presentations.
  • Creating and editing Excel spreadsheets.
  • Data entry, updating project and Staff databases and spreadsheets.
  • Supporting miscellaneous Contract Administrative activities to include creating and monitoring Invoices.
  • ECMS for planned projects, Staff wage rates, to include all submissions required by client.

Requirements:

  • High school degree or equivalent required, Associate's or bachelor's degree preferred
  • Minimum 1-4 years of clerical or administrative experience.
  • Intermediate to advanced knowledge of Microsoft Word and Microsoft Excel.
  • Proficient with Microsoft Power Point and Microsoft Outlook.
  • Exceptional organizational skills (including electronic document management).
  • Proven ability to maintain confidentiality, including a high degree of discretion when dealing with confidential information.
  • Highly motivated and detail oriented.
  • Self-starter with desire to undertake new initiatives.
  • Excellent written and oral communication skills.
  • Proven ability to meet deadlines, multi-task, and to adapt to frequent changes and work well under pressure.
  • Proven ability to follow up on assignments to ensure they are successfully completed. Ability to work both independently and within a team.
  • Ability and willingness to work cooperatively with and in support of others.
  • Ability to maintain appropriate interpersonal relationships with employees, peers, and others.
  • Prior experience working in an Engineering, Architectural or Construction industry preferred.
