EXECUTIVE ASSISTANT

The Executive Administrative Assistant provides high-level secretarial and administrative support to Chief Executives, Board members, and the Executive Team. This role frequently handles matters of a highly confidential or sensitive nature, requiring sound judgment, autonomy, self-motivation, and a commitment to professionalism.

KEY RESPONSIBILITIES

  • Manage executive calendars and schedule appointments.
  • Attend and document minutes for Executive Finance, Board, Executive, and Management Team meetings.
  • Coordinate Board activities, including maintaining the calendar, arranging catering, scheduling meetings, distributing agendas, sending notices, and disseminating minutes and resolutions for Board & Executive Team meetings.
  • Maintain and publish the monthly Board calendar, and obtain signatures as needed.
  • Screen telephone calls and visitors for the Executive, independently addressing routine matters or redirecting inquiries as appropriate.
  • Handle executive mail, managing items personally for the executive and forwarding the remainder to relevant parties.
  • Arrange and coordinate all travel plans, including preparing itineraries and documentation for meetings involving the Executive, Board members, and Executive Team. Ensure that travel details are accurately reflected in the relevant calendars.
  • Provide administrative support to the Executive and Board of Directors.
  • Handle protected health information in compliance with HIPAA.

PREFERRED QUALIFICATIONS

  • Confidentiality: High level of discretion with sensitive information.
  • Communication: Strong oral and written skills in both English and Spanish.
  • Organization: Ability to prioritize tasks and manage time efficiently.
  • Experience: 5+ years as an Administrative Assistant to senior leadership and experience in a non-profit healthcare environment is preferred.
  • Computer Skills: Proficiency in Microsoft Office; Access experience is a plus.
