Job description

The Coordinator of Special Events assists with the preparation, execution, and evaluation of special events. The position includes cultivating sponsors and being the main contact with event venue and event volunteers. They help with human resource coordination by recruiting, training and motivating employees and volunteers.

SCHEDULE: 25 hours per week, 5 hours per day with flexibility on start time Monday through Friday, with occasional weekend hours


REPORTS TO: Director of Philanthropy

ESSENTIAL DUTIES

  1. Understand the requirements for each event.
  2. Plan event logistics with attention to financial and time constraints
  3. Book venues and schedule speakers as needed.
  1. Research vendors (catering, decorators, musicians, etc.)
  2. Negotiate with vendors to achieve the most favorable terms.
  3. Manage the decor and set-up of events as well as clean-up process
  4. Track event logistics (event attendance, budget, timelines, etc.)


JOB REQUIREMENTS

A. Education and Experience

  1. High School Diploma or General Certificate of Education (GED).
  2. Minimum of 2 years of relevant working experience.
  3. Personal special events coordination preferred.
  4. Demonstrated knowledge of MS365 Power Platform.

B. Additional Requirements

  1. Must satisfactorily pass criminal history check.
  2. Must satisfactorily pass tuberculosis (TB) test.
  1. Must have reliable transportation and a valid Washington State driver's license (or be able to obtain one by date of employment).
  2. Employees and volunteers who operate their own or Friends of Youth vehicles on Friends of Youth business, must have a safe driving record as defined by Friends of Youth.
  3. Employees and volunteers who operate their own vehicle(s) on Friends of Youth business must carry auto liability insurance that complies with the requirements of Friends of Youth.
  4. Must successfully complete the following health certification requirements within 30 days of employment: CPR, First Aid and Bloodborne Pathogens.
  5. Proof of COVID-19 vaccination is required. There are no exemptions .

  9. Able and willing to travel to multiple local sites and other locations in personal vehicle (mileage reimbursement provided).
  10. Proficient skill set with Microsoft Office programs.
