The Records Manager is an on-site supervisor who will provide management and implement appropriate management systems to ensure the quality, reliability, accuracy, and timeliness of all services and products.

Responsibilities:
Manage workflow, productivity, and team members and adhere to all regulatory and contractual requirements.

Prepare and revise quality control and review procedures, forms, reports, and manuals.

Receive and analyze reports of all quality control activities, shelf-reading work, and independent quality assurance reviews.

Ensure quality assurance initiatives are being always observed.

Assess the quality of performance and recommend to customer and government records staff work areas or activities in need of quality review, based on experience and analysis of existing information.

Conduct quality reviews and report results to contract management, customer, and government records staff.

Work directly with contract management, customers, and the government records staff to correct procedural and performance deficiencies.

Review interfile and refile materials that are returned to the customer due to deficiencies; determine whether problems result from poor performance, inadequate training, or procedural weaknesses; recommend problem solutions to the customer, government records staff, and Project Manager.

Investigate and resolve specific problems identified in complaints from litigating staff such as the misfiling of documents and the inability to locate files.

Maintain positive customer relations.

Respond to and resolve difficult records management issues.

Provide technical advice and assistance to personnel on matters related to sensitive and confidential records.

Perform special quality studies, as necessary and as requested.

Plan, organize, direct, and guide the activities of team members.

Carry out supervisory responsibilities by the organization's policies and applicable laws. Responsibilities include hiring and firing, training, and performance evaluations.

Other duties as assigned.

Qualifications:
High school diploma or GED equivalent requiredBachelor's degree desired

5+ years of related experience required including:Supervisory experience

3+ years of experience with quality control and review techniques for records management or case management activities

Background check required

Knowledge, Skills and Abilities:

Ability to discuss and resolve operational problems with professional staff.

Standard word processing, spreadsheet, statistical, and graphics software to produce reports, charts, and graphs

Ability to plan, organize, and direct projects involving the efforts of several subordinates.

Excellent verbal and written English communication skills to be able to correspond with professional staff and read and understand complex sets of procedures and other documentation.

Ability to work independently in the design and execution of projects and work cooperatively with members of a team.

Demonstrated accuracy and attention to detail.

Ability to deal simultaneously and calmly with several crises; to determine the relative importance of each; to recognize important users of the service and to accord to them priority attention; to discern the true nature of problems from imprecise descriptions, and to refer problems to the proper individuals for resolution.
