Description Executive Assistant Xcelerate Solutions is seeking a n Executive Assistant / Administrative Assistant to support the Defense Contract Management Agency (DCMA) Headquarters personnel. In this role you will be responsible for providing comprehensive administrative and management support across various functions within DCMA. This includes but is not limited to the execution of process evaluations, analyses, and reports on administrative matters, ensuring that management systems are optimized for efficiency. Additionally, you will provide advice and assistance to managers, supervisors, and employees regarding human resources, travel, training, logistics, and office support. This role requires effective use of financial and grant systems, as well as handling routine office operations such as records management, supply ordering, and coordination of meetings and deadlines. The position demands strong organizational skills, the ability to manage multiple priorities, and the use of various computer systems and applications. Location: DCMA HQ, Fort Gregg-Adams, VA Clearance: Secret Responsibilities: Conduct special analyses, reports, surveys, and evaluations on administrative matters using grants and financial systems. Prepare clear and concise oral and written reports and presentations on evaluations and studies. Evaluate and recommend improvements in management systems for review and implementation. Provide administrative and management advice to managers, supervisors, and employees on HR, travel, training, time and attendance, equipment, and general logistics support. Maintain and update departmental Outlook calendars with important meetings and deadlines. Assist with gathering and transmitting information for audit requests, monthly reviews, and quality assurance measures. Support staff with travel arrangements, including hotel research, purchasing, pricing sheets, and forms preparation. Assist with purchasing, records management, correspondence, and mail management. Input data into databases and analytic tools for reports, inquiries, and special assignments. Handle office mail pickup, distribution, supply ordering, government vehicle reservations, and other clerical duties. Process personnel security actions, including SIPRNet requests and documentation related to security clearances ( Statements of Reason ( SOR ) memos , Letters of Revocation ( LOR ) , and Letters of Denial ( LOD). Serve as a backup for other secretaries or executive assistants during absences. Complete and input time and leave records in the DAI system. Provide DAI reports and ensure accurate time and leave tracking. Operate a Government Owned Vehicle (GOV) as needed. Utilize a variety of software applications, including Microsoft Excel, Word, Access, Outlook, Adobe Acrobat, and agency-specific programs, to manage work tasks efficiently. Minimum Requirements: Required: Bachelor's degree Required: 3+ years' experience in DoD operations and administrative support Required: Knowledge of commercial and government best practices regarding operational management as well as the use of analytics products including business intelligence and automated analysis systems Required: Operational knowledge of ETMS2, Defense Travel System (DTS), and the Microsoft Office Suite of tools Desired: Understanding of Defense Acquisition policies, processes, and procedures Desired: Ability to manage multiple competing priorities at senior leader levels About Xcelerate Solutions Founded in 2009 and headquartered in McLean, VA, Xcelerate Solutions () is one of America's fastest-growing companies.
