SPECIFIC JOB DESCRIPTION: This position is l in the Defense Innovation Unit DIU providing support to Directorate leadership, government AOs and SMEs, and the contract team. Successful candidates will accurately distribute incoming and outgoing unclassified and classified documents, provide subject matter expertise, and carry out day-to-day operational and administrative activities to support the OSD mission and its most senior leaders, the Secretary and Deputy Secretary of Defense, and the Military. Specific duties will include: Develop, maintain and implement routine office technical/administrative procedures and standards to include document preparation and coordination, filing, formatting, reproduction, and distribution as required by the office mission. Assist action officers and contractor team members as needed in managing taskers, scheduling meetings, preparing read-ahead information, preparing meeting presentation material, documenting meetings, tracking action items, and preparing appropriate correspondence. Prepare metrics, weekly action reports of critical suspense data, weekly reconciliation between internal/external program offices of pending/overdue actions, and identify discrepancies to government personnel. Assist government personnel with the development of business methods and procedures, including administrative systems, file systems, office systems, process flows, and production schedules to support CATMS. Create and implement training guides and support training of staff members in the structure and missions of the DIU, CATMS, and proper preparation of signature packages, and using the correspondence guidance and suspense tracking system. Intake, review, and analyze FOIA and PA requests. Ability to engage relevant agency stakeholders to locate requested records and confirm that the release and disclosure of responsive documents adhere to applicable exemptions and/or exclusions. Understanding of and applying Privacy Act (PA) laws, regulations, and privacy implications Familiarity with System of Records Notices (SORNs) and the interpretation of routine uses for disclosures of information maintained in federal systems Operational duties related to DIU tracking, human resources, IT, security, facilities management: Answering and routing phone calls and greeting/escorting guests, In-processing new personnel (DD1172; DD2249; DD2875), Requesting and managing all equipment and furniture inventory, Suite access, SCIF maintenance, and burn bag destruction, Resolution of IT and network issues, and Ordering/maintaining supplies Other responsibilities and duties as assigned. SKILLS AND EXPERIENCE Requirements: Secret clearance required at date of hire The ability to provide support full-time on-site 5 days a week. The ability to support a rotating shift coverage schedule is a firm requirement with the early shift from 6:30 am 3:00 pm. Experience working Executive Secretariat-like functions in the U.S. government. Prior experience working with and/or supporting senior-level officials and knowledge of the structure and missions of the OSD and the Components. High level of proficiency of the English language, both written and oral. Highly proficient with the Microsoft Office Suite of applications, especially Word, Excel, PowerPoint, and Teams. Energetic and the capability to work in a fast-paced team environment, adapt to rapidly changing requirements, and multi-task capabilities. Ability to produce quality work independently or in a group setting, provide solutions to customer issues, and solve problems quickly. Preferred: Active TS/SCI clearance Expertise in project management, metric development and comparison, and other data-based capabilities for effective management of complex organizations. Focus on operational and project performance/improvement with knowledge of tools that enable effective office operational processes.
