Position Description:
Base pay is influenced by several factors including a candidate's qualifications, relevant experience, and anticipated contributions to meet the needs of the business, along with internal pay equity and external market driven rates. The salary range displayed has not been adjusted for geographical location. This range has been created in good faith based on information known to Dominion National at the time of posting and may be modified in the future. Dominion National, a rapidly growing and leading provider of dental and vision benefits has an exciting opportunity for an experienced Administrative Coordinator.

The Administrative Coordinator is responsible for performing secretarial and administrative functions in support of the organization. This position will provide exceptional customer service, facilities, research, and special project support within the department.

Responsibilities and Qualifications:
Essential functions include but are not limited to:

Processing incoming and outgoing mail and materials for appropriate department personnel. Providing oversight for the electronic mail service, postage and shipping vendor relations, equipment, and supplies.

Performing various facility management duties, including (but not limited to): identification badge management and tracking, facility ticket maintenance, parking management, property management coordination and facility vendor relations. Review and update facility procedures and policies, as needed.

Maintaining/coordinating schedules. Coordinating meetings, luncheons, training, etc. for department personnel.

Answering telephone and providing information to callers, as directed. Routing calls to appropriate staff member.

Providing administrative support to all departments, as requested. Maintaining central files and manuals for department projects and functions. Maintaining files, as assigned.

Typing internal and external reports and correspondence for staff. Responsible for coping and distributing such material.

Compiling statistical data concerning department activities and/or projects as assigned. Preparing periodic reports and special reports as requested by staff.

Researching and preparing follow-up responses for routine correspondence in support of the department staff.

Performing special projects as assigned involving gathering information, performing research using automated and manual resources and requesting information from internal and external sources.

Maintaining and ordering office supplies for department staff.

Performing other duties as assigned.

The minimum qualifications for the ideal candidate include:

An Associate's degree in a related field, preferred.

1-2 years' experience in an administrative support position required.

Demonstrated computer skills and proficient experience with Microsoft Office suite including but not limited to Outlook, Excel, Word, and PowerPoint. Experience with other systems and technology to improve administrative efficiency. Ability to learn new computer skills and systems.

Knowledge of basic mathematics and the ability to operate a calculator to perform basic arithmetic and statistical calculations.

Exceptional written and oral communication and presentation skills.

Superior interpersonal skills and ability to interact with leaders, staff, visitors and vendors with a highly professional demeanor and strong customer service skills.

Ability to execute duties and responsibilities independently in a fast paced and complex environment and with minimal supervision, think critically, synthesize information from a variety of sources, work collaboratively or independently as required, prioritize effectively, and handle multiple tasks simultaneously, effectively carry out written and oral instructions.

Proven ability to accomplish projects and assignments with strict deadlines.

A proven track record of exercising discretion and independent, excellent judgment, while managing confidential and sensitive information related to budgetary, personnel, and administrative matters is required.

Knowledge of health care industry a plus.

Ability to accommodate a flexible work schedule and occasional travel.

Must be available to perform tasks in the office 5 days per week.
