Events Coordinator (Contractor)
Remote
Contract (September March, possible extension)
20 hours week
$25.00 an hour

Job Description :
The Events Coordinator will lead the planning and execution of a major conference event, starting in September and culminating with the flagship event in early March. The role also includes managing other events such as conferences and customer meetups throughout the contract. Responsibilities include coordinating with cross-functional teams to ensure strategic alignment, managing logistics, marketing, vendor partnerships, and volunteer coordination.

Required Skills :
2-3 years of experience in event planning and management, including logistics, vendor coordination, and on-site operations
Experience in vendor and budget management, including contract negotiation and cost tracking
Proven ability to collaborate with creative teams to implement event themes and design elements
Experience in volunteer recruitment, training, and management
Strong stakeholder communication skills, including updates and issue resolution
Hands-on experience in managing event setups and day-of operations
Experience in marketing and promotion strategies, including email campaigns and social media

Bonus/Soft Skills :
Strong project management skills and familiarity with project management tools
Financial acumen for budget creation, tracking, and financial reporting
Proficiency in event management software (e.g., Cvent, Eventbrite)
Basic technical understanding for event AV equipment and support
Excellent verbal and written communication skills for stakeholder and volunteer coordination
Experience with digital marketing tools and social media management
Strong problem-solving skills for handling on-site issues
Experience planning large events (200+ attendees), with a preference for corporate event planning

Preferred Qualifications :
bachelor's degree in Event Management, Hospitality, Business Administration, Marketing, Communications, or a related field
Proficiency in Microsoft Office Suite and Google Workspace tools
Experience in planning large-scale events, preferably in a corporate setting
