EXECUTIVE ASSISTANT TO CEO



A successful independent oil and natural gas producer active in the acquisition, exploration and development of properties in South America is looking for an Executive Assistant to support the CEO. Great attention to detail, superior organizational skills and advanced Excel skills to create financial reports a MUST. Bi-lingual Englis/Spanish is also required. The office is located in the Galleria area. This is an in-person position 4 days a week, Friday 1/2 day in office. This is an exciting opportunity for someone who truly enjoys being a true right hand to a very busy executive.

About the Job:



  • Support the CEO as gatekeeper handling complex calendar management, prioritizing emails and crafting them on his behalf

  • Schedule complex domestic and international travel arrangements with detailed itineraries as well as coordinate private jet travel

  • Prepare CEO for client meetings and presentations as well as do research and analyze data for overall reports; advanced Excel required

  • Set up weekly, monthly and quarterly staff meetings, booking conference room and assisting with organizing materials needed for the meetings

  • Handle expense reporting

  • Prepare conference registrations, logistics; arrange lunch, dinners and video meetings

  • Travel may be required on an ad hoc basis for mostly day trips, possibly a few times a month

  • Ad hoc projects

  • Off hour availability via cell

About You:



  • A minimum of 8 years of experience as an Executive Assistant supporting a very busy senior executive, preferable in the finance or oil and gas space

  • Bachelors Degree preferred, Bi-Lingual, English/Spanish a MUST

  • Very detail oriented with the ability to work independently to solve problems and anticipate needs

  • High level of integrity and discretion in handling all confidential information; high emotional and intellectual intelligence

  • Excellent Microsoft Office Suite skills; Advanced Excel skills (pivot tables and V-Look ups)

  • Excellent written and verbal communication skills

  • Experience handling/ managing clients with grace and diplomacy

  • A hospitality mentality to go above and beyond to make sure the CEOs needs are met for success
