JOB DESCRIPTION OVERVIEW:

Working under the supervision of the Corporate Office Manager, the Administrative Assistant's primary responsibilities are desk phone duties, managing office deliveries, processing mail, ordering supplies, maintaining the executive kitchen: making coffee, clean ups, assist office manager with projects, auditing and reports.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answering phones
  • Process mail and packages for 400 employees
  • Respond immediately to urgent issues that arise during the day
  • Make deliveries to multiple floors
  • Order office and kitchen supplies



QUALIFICATIONS / EXPERIENCE:

  • At least 2 to 3 years' experience in customer service or office setting
  • Experience working multiple phone lines
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Must be able to lift up to 25lbs
  • Demonstrated attention to detail is a must
  • Ability to manage multiple tasks simultaneously
  • Excellent verbal and written communication
  • Demonstrated customer service attitude
  • Positive and tactful interpersonal skills
  • Should display superior judgment; exceptional organizational skills and ability to take the initiative to accomplish tasks.

PHYSICAL / ENVIRONMENTAL DEMANDS:

  • Job performed in a well-lighted, modern office setting;
  • standing/bending/stooping/reaching;
  • Moderate stress;
  • Prolonged sitting; and
  • Prolonged work in a computer/PC.

This position may require manual dexterity and/or frequent use of the computer, telephone, 10-key, calculator, office machines (copier, scanner, fax) and/or the ability to perform repetitive motions and/or meet production standards to comply with the essential functions. Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or more than five days per week.
