Job Description
This is administrative and/or supervisory work in the Civil Division of Municipal Court. An employee in this class is responsible for independently managing a medium-sized unit in the Civil Division of Municipal Court. Work includes managing and directing a group of employees and is marked by high-level interaction with management, the general public, councils, boards, etc. in an advisory role. Duties are performed with some degree of independence with some latitude for judgment.

Essential Functions
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
All Units
Provides work direction, training, and mentoring to subordinate staff.
Daily interface with CLAIMS electronic filing system.
Completes performance reviews/evaluations for subordinate staff and develops work plans as needed.
Assists clients and the general public in person and via telephone.
Delegates routine situations to staff and responds directly to more complex situations or complaints.
Prepares and collates weekly, monthly, or annual reports and drafts correspondence.
Collects, analyzes, interprets, and reports on unit-associated data.
Regularly reviews work procedures to ensure an efficient and expeditious process of work.
Performs quality assurance reviews to ensure adherence to established practices / procedures.
Reviews and approves / denies leave requests while always ensuring appropriate staffing levels.
Ensures the responsibilities of assigned staff are covered in their absence or in the event of a vacancy being created.
Interviews applicants for position vacancies and provides hiring recommendations to administration.
Conducts regular staff meetings and provides meeting minutes to the unit Manager / Director.
Participates in mandatory training sessions.
Performs additional duties / assignments as directed by an administrative supervisor.
Ensures work is assigned and distributed evenly amongst staff.
Responds to questions from staff regarding Rules of Civil Procedure.
Conducts quality assurance audits associated with the various tasks assigned to unit staff.
MARGINAL FUNCTIONS
Performs additional and related duties as required by an administrative supervisor, Director, Chief or Deputy Court Administrator.
ENVIRONMENTAL CONDITIONS
Normal office conditions are standard for this class.
May have contact with diverse court clientele and the general public.

Competencies, Knowledge, Skills and Abilities
Knowledge of general office practices and procedures.
Knowledge of personal computers, Microsoft Office and Windows software applications.
Knowledge of the Rules of Civil Procedure and procedures for assigned unit.
Knowledge of the Municipal Court Civil Division Process.
Knowledge of FJD policies and procedures.
Proficiency in the operation of the CLAIMS electronic filing system.
Skill in business writing and oral communications.
Skill in creating detailed narrative and graphical business reports.
Ability to effectively communicate in English both orally and in writing.
Ability to provide information clearly and concisely.
Ability to learn within a reasonable period the functions, policies, procedures, and operations of the court unit to which assigned.
Ability to prepare and maintain accurate records.
Ability to think critically and problem solve.
Ability to enforce both departmental and District policies.
Ability to establish and maintain effective working relationships with superiors, associates, justice partners and the general public.
