Job description

Overview:
What you will do

Time Keeping management and Invoicing within the IT time tracking system.

Prepare and edit correspondence, reports, and presentations.

Maintain and organize IT department documentation, including project files, vendor contracts, SoW's and equipment inventories.

Ensure accurate and up-to-date records are kept for software licenses, IT assets, and maintenance contracts.

Handle inquiries, direct calls, and manage emails into and about the IT organization.

Assist in preparing and distributing internal communications, such as memos and newsletters.

Assist with procurement processes, including obtaining quotes and managing purchases for IT equipment and services.

Organize and coordinate team meetings, trainings, and other IT-related events.

Arrange logistics for team-building activities and meetings.

Monitor and manage office supplies and IT-related inventory.

Be part of team to On/Offboard IT employees

Finance Coordination:

Track department expenses, and financial reports.

Oversee accounts including processing invoices, reimbursements, and vendor payments.

Maintain and submit all Bills/Amex/Visa charges.

Assist in the preparation of financial forecasts, and audits.

Provide support for financial planning, analysis, and special projects as needed.

What you will bring

5+ years of experience in administration, finance and IT support role.

Proven ability to take detailed, organized, and concise meeting notes.

Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Familiarity with 7Pace (time tracking) and financial planning software is a plus.

Strong understanding of invoice and expense reporting.

Familiarity with IT operations, information security, audit, governance, and software development organizations.

Ability to manage multiple tasks simultaneously while maintain a high level of accuracy.

Excellent organizational and time management skills.

Strong written and verbal communication skills.

Ability to handle confidential information with discretion.

Problem-solving skills and the ability to work independently.
