Job description

Express Employment Professionals is looking for an Administrative Assistant for Our valued Partner in Niles OH!

Shift: 7:00am - 5:00pm M-F

Pay: $18.00-$22.00per hr

Key Responsibilities:

  1. Scheduling and Coordination:
    • Schedule routine maintenance, inspections, and repairs for fleet vehicles and equipment.
    • Coordinate with mechanics, service providers, and other departments to ensure timely and efficient maintenance.
  2. Record-Keeping and Documentation:
    • Maintain accurate and up-to-date records of vehicle service history, repairs, warranties, and inspections.
    • Track fuel consumption, mileage, and maintenance costs for each vehicle.
    • Prepare and update logs, inventory lists, and maintenance schedules.
  3. Communication:
    • Serve as the main point of contact for fleet-related inquiries, liaising between mechanics, drivers, suppliers, and management.
    • Handle internal and external communications related to maintenance requests, emergency repairs, and fleet status updates.
  4. Procurement and Inventory Management:
    • Order and track necessary parts and supplies for fleet maintenance and repairs.
    • Monitor inventory levels of tools, parts, and equipment needed for vehicle servicing.
  5. Budget and Cost Tracking:
    • Assist in tracking fleet maintenance budgets and expenses, ensuring cost efficiency.
    • Prepare reports on maintenance expenditures, vehicle downtime, and overall fleet performance.
  6. Compliance and Safety:
    • Ensure that all fleet vehicles are compliant with relevant safety and regulatory standards (e.g., inspections, emissions testing).
    • Keep track of vehicle registration, insurance, and other required documentation.
  7. Customer Service:
    • Respond to requests for fleet vehicle availability, maintenance status, or other related queries from internal teams.
Essential Skills:
  • Organization: Ability to manage multiple tasks, schedules, and deadlines at once.
  • Attention to Detail: Precise record-keeping, inventory management, and documentation skills.
  • Communication: Strong written and verbal communication skills for dealing with vendors, mechanics, and other stakeholders.
  • Problem-Solving: Ability to address scheduling issues, maintenance concerns, or other operational challenges.
  • Time Management: Efficiently prioritizing tasks in a fast-paced environment.
  • Tech-Savvy: Proficiency in fleet management software, MS Office, and other administrative tools.
Qualifications:
  • Education: Typically requires a high school diploma or equivalent. A degree or certification in business administration, logistics, or a related field is often preferred.
  • Experience: Previous experience in fleet management, maintenance coordination, or a related administrative role is beneficial.
  • Certifications: Some positions may require specific certifications related to fleet management software, inventory control, or safety standards.
