Basic Purpose and Function:

Responsible for the administrative duties of the front reception area; to serve as the first representative of the company to visitors, applicants, and vendors; and to perform these duties in a cheerful and professional manner.

This is a Temporary position until December 1st, 2024.

Specific Duties and Responsibilities:

Answers all incoming phone calls in a cheerful and professional manner and directs calls to the appropriate staff.

Greets guests, vendors, perspective applicants, and clients in a cheerful and professional manner.

Maintains security by following Firstsource procedures; monitors logbook; issues visitor badges.

Handles incoming/outgoing mail and overnight packages; distributes packages to appropriate employees.

Partners with recruitment in handling applicant packets and communicating the arrival of perspective applicants.

Responsible for training badge distribution to New Hires on start dates.

Maintains supply inventory; places supply orders.

Updates leadership team phone lists; distributes accordingly.

Assists in company event planning (holiday party, community events, etc).

Assists leadership in travel plans.

Arranges and orders lunches for visitors, clients, management. Assists in setting up conference room if required.

Types memos, correspondence, letters and other reports as requested.

Professionally communicates announcements via paging system.

Maintains safe and clean reception area by complying with procedures, rules, and regulations.

Assists other support departments if need be, completes additional projects and tasks as assigned

Other duties as assigned or needed by administration and management

Minimum Qualifications:

High school graduate or equivalent

1 year customer service experience

Office experience working on multi line phones

Professional, courteous, and friendly demeanor

Excellent verbal and written communication skills: ability to communicate effectively and professionally to internal staff of all levels, vendors, visitors, and clients.

Proficient in Microsoft Word, Excel, Internet, Email

Detail oriented and good organizational skills

Ability to work with minimum supervision

Ability to work independently on assigned tasks as well as to accept direction on any given assignments

Ability to handle and prioritize multiple tasks simultaneously

Preferred Qualifications:

Previous receptionist experience

Job Relationships:

Contact with employees within the company

Contacts outside the company with vendors as required
