The New York State Department of Health, Office of Aging and Long-Term Care (OALTC) is seeking to fill an administrative assistant position to support the: Center for Long-Term Care Licensure Planning & Finance; Center for Aging & Long-Term Care Finance and Supports and the Center for Master Plan for Aging.

Minimum Qualifications

High school diploma (or equivalent).

Minimum of 2 years of experience working in a professional setting.

Excellent working knowledge of Microsoft Office, specifically Word and Excel.

Ability to work independently and in a team environment.

Ability to handle multiple shifting priorities.

Experience in data entry and extracting data from electronic databases.

Good organizational skills and effective communication with healthcare professionals.

Prior experience working for the New York State Department of Health.

Preferred Qualifications

Bachelor's degree.

Familiarity with various healthcare entities, including healthcare institutions.

Knowledge of the Health Commerce System and the Statewide Financial System.

Job Responsibilities

Maintain various tracking and database systems.

Prepare correspondence, reports, and other written materials.

Answer phone calls related to policies or procedures and direct them to appropriate staff.

Set up and coordinate meetings for senior staff.

Receive and process mail and fax documents; perform faxing and photocopying tasks.

Data entry and maintaining both paper and electronic filing systems.

Support daily operational functions in a fast-paced, high-volume office environment.

Demonstrate dependability, attention to detail, and motivation to handle shifting assignments as deadlines and priorities change.

Apply knowledge of office administration and management, including proper grammar, punctuation, spelling, and business communications.

Take notes accurately during meetings and discussions.

Misc. Information:

Monday to Friday; 9am - 5pm
