Job description

Overview:
Manage the business office on a day-to-day basis: Staff supervision and performance evaluations, mentor for office staff career development, responsible for financial reporting to both Director and Executive Director, in additon to F&T department, review and approve POs, invoices, business expenses, labor accounting.
Manage grants office staff- pre-, during and post-award, financial anaysis, reporting and supporting data required by PMI directors.

Responsibilities:
Business Management
- Manages the Business Office and supervises and trains the Business Office Staff to develop and implement Standard Operating Procedures (SOPs) and processes to improve workflow and ensure financial controls, such as, but not limited to, the review and approval of purchase orders, invoices, travel, business expense reimbursements, labor accounting transactions, capital asset inventories and management of resources, are following University, sponsor and PRISM guidelines and policies. Provides information and advice to faculty and staff on policies and procedures and acts as the institutes cost object approver.

- Analyzes financial and research data to identify trends and generates reports for Executive Director and Institute Director to be ultimately used by both internal and external constituents. For this, the incumbent will successfully leverage tools such as, but not limited to, the available systems like People Soft, Information Warehouse, Labor Accounting, Tableau, etc.

- Oversight of (i) recharge center activities, including, accounts receivable and accounts payable; (ii) department casual hourly time collection process and approvals; and, (iii) PMIs current and anticipated discretionary funds, including, faculty start-up and rebate accounts, gift and endowment funds.

- Establishes, maintains and monitors departmental accounting and recording procedures to ensure efficient and accurate communication of financial information to PIs; provides for ongoing analysis of research program resources, priorities, fiscal viability and changing conditions; provides timely updates to Executive Director and Institute Director.

- Attends relevant trainings/professional activities and participates in meetings and workshops to stay current with policy and procedure changes as well as processes related to financial management and sponsored research; and, serve on department, school and/or university committees and working groups related to business and financial processes along with attending relevant trainings and outside professional activities.

- Works closely with the Executive Director to support growth of PMIs Industrial partnership through helping with the execution of agreements, and leading the process of onboarding external members through the appointments through the Office of the Dean of Faculty and Human Resources.

Grants Management
- Oversight of the grant processes: pre-, during and post-award responsibilities of Grants Manager including proposal submissions, sub-awards contracting, monthly forecasting, monitoring, financial analysis, prior-approval of requests, effort certification, approval of expenditures, progress reports and reporting requirements, and close out awards; ensuring all deadlines are met.

Qualifications:
ESSENTIAL

-Bachelor's degree and minimum of 5 years of relevant experience.
-Ability to multi-task on complex financial spreadsheets and reports.
-Translate detailed financial data to generalized profit & loss reports.
-Excellent data gathering and analysis skills, ability to creatively solve problems and formulate/implement process improvements.
-Ability to exercise independent judgment to plan and prioritize a diverse workload, meet deadlines, take initiative, and function autonomously.
-Supervision of 3-4 financial administrative professionals.

PREFERRED

-Experience in a University setting.
-Experience managing and administering sponsored research awards (Corporate, Federal and State) in a higher education environment.
-Experience with Princeton University Systems and Software including PeopleSoft, Prime Financials, Princeton ERA, Labor Accounting and the Information Warehouse.
-Familiarity with principles of accounting, Federal Uniform Guidance and related sponsored research statutes.
