We're looking for a payroll and people operations senior/specialist to join our ranks. The payroll and people operations specialist will be responsible for accurately and independently administering bi-weekly payroll for 1,200 + employees. This role will work to ensure smooth onboarding as well as play a critical part in maintaining employee satisfaction and operational efficiency within the People team.

Key Responsibilities

We are looking for a Payroll and People Operations Specialist who is meticulous, detail-oriented, and committed to maintaining high standards. The ideal candidate will have a passion for accuracy and a strong work ethic, thriving in a dynamic and fast-paced environment. As a critical member of the People team, you will play a key role in ensuring smooth payroll operations and maintaining employee satisfaction at all levels of our organization. Your contributions will directly impact our company's success and the well-being of our employees.

Payroll Administration:

  • Accurately process bi-weekly payroll across multiple states for all level of employees and process off-cycle and manual payments as needed
  • Manage payroll-related tasks, including data entry, wage calculations, deductions and then back-end review and reconciliation
  • Ensure compliance with federal, state, and local tax regulations by accurately calculating and submitting payroll taxes and deductions
  • Maintain accurate payroll records and ensure compliance with federal, state, and local regulations
  • Respond to employee inquiries regarding payroll issues and resolve discrepancies
  • Thoroughly prepare and accurately submit payroll reports as required
  • Maintain confidentiality and security of payroll information
  • Assist with internal, external and workers compensation audits
  • Collaborate with People and finance teams to ensure seamless payroll operations
  • Maintain and track earnings accruals for annual bonus and bi-annual bonus payments
  • Reconcile benefit invoices that require coordination with payroll reports

People Operations Support:

  • Address employee and manager questions and concerns regarding any People-related topic (payroll, compensation, performance management, benefits, Paid Time Off, etc).
  • Reviewing and assisting with Leave calculators with a particular focus on intermittent leave calculations
  • Coordinate and facilitate the onboarding process for new hires, including preparing onboarding materials
  • Ensure processes across any stage of the employee lifecycle are documented and processed accordingly
  • Maintain accurate and confidential employee records

Core Strengths and Skills

  • Proven experience as a Payroll Specialist or in a similar payroll role, with a focus on multi-state payroll
  • Excellent organizational skills and a talent for accuracy
  • Strong understanding of payroll processes, tax regulations, and compliance requirements
  • Proficient in payroll software and MS Excel
  • Excellent analytical skills with a high level of attention to detail and accuracy
  • Prior experience with Microsoft Excel a plus
  • Effective communication and interpersonal abilities, with an indispensable service mindset
  • Ability to prioritize tasks, meet deadlines, and work independently or collaboratively within a team
  • Ability to handle sensitive information with confidentiality

Additional Skills and Knowledge

  • Bachelor's degree or equivalent experience in Payroll, Human Resources, Accounting, or related field preferred.
  • Minimum of 4 years of successful experience in payroll administration and office support.
