Summary/Objectives
The Electronic Records Clerk works in the Personal Care Management Department and follows HIPAA rules for Privacy and Security Rules, with handling and processing electronic documents. This role is responsible for processing electronic consumer records according to program regulations of quality standards. Responsible for quality checks for ensuring the accuracy and completeness of various documents according to the program rules and standards. Manages the process of digitizing paper and electronic formats for storage and retrieval. Provides technical support to both administrative and community staff across all Community Services programs and help with efficiencies and build knowledge .
Essential Functions
- Preform Quality Assurance to ensure legibility and accuracy on all documents
- Preform Quality Assurance to ensure legibility and accuracy for all integrated Care referrals and renewals
- Import, scan and store all paper and electronic formats in the proper consumer record
- Labeling paperwork in Laserfiche according to the document and date of document.
- Enter date in appropriate Zuke field
- Perform data entry and organize documents according to community services program categories
- Maintain and operate scanner and access scanning quality
- Track, document and create daily reports of incoming and outgoing documents
- Confirm through regular quality checks, that documents are properly filed in proper consumer record
- Archive and securely discard duplicates and obsolete documents
- Other duties as assigned by Program Manager
- Have good knowledge and adhere to HIPAA Privacy and Security rules for processing confidential documents
- Must report all suspected incidents of consumer sexual/physical abuse and neglect to the Disabled Person Protection Commission (DPPC)
- Assist other department as needed
- Other duties as assigned by Supervisor
