Talent Source is seeking a Senior Executive Assistant at Fidelity Investments to work in Boston MA, Smithfield RI or Westlake, TX.

The Executive Assistant staff at Fidelity plays a vital role in the company's success, and those individuals serving in these positions are recognized by their colleagues as key members of their group, department, or organizational team.

The Expertise We're Looking For

  • A bachelor's degree strongly preferred or secretarial certificate/related work experience
  • Must have 3+ years of executive assistant experience, strong PC skills including Microsoft office expertise (particularly Word and PowerPoint, Excel a plus)
  • Previous experience in a corporate environment
  • Previous experience at a law firm or inhouse legal department is a plus
The Purpose of Your Role

As an important member of the Fidelity Legal Department, you will provide administrative support to a group of 12-20 attorneys and/or Legal staff. Your excellent communications and technical skills will be constantly put to the test, as will your ability to handle multiple tasks simultaneously as you serve as a focal point of a dynamic, fast-paced business environment. You would be joining an amazing team and have an opportunity to learn, be challenged, and grow.

The Skills You Bring
  • Planning and scheduling for staff, including Zoom calls and webinars.
  • Clerical administrative support including travel arrangements, expense reports, coordinating large print job and mailing needs given our current work from home environment.
  • Document support using our Legal document management system. Printing documents and creating case binders as needed. Word processing and proofreading documents.
  • You will provide back-up support for other assistants within the group.
  • Work with other business groups in Fidelity such as Accounts Payable, Corp Security, Real Estate, and Technology groups
  • Assist with new hire onboarding
  • Light technical/troubleshooting support
  • You will perform special projects, ad hoc requests, and other related duties as required, a few examples:
  • Electronic signature setup and process management

Currently, most hybrid roles require associates to work onsite all business days of one assigned week per four-week period (beginning in September 2024, the requirement will be two full assigned weeks).
