Job description

Executive Assistant, Senior Full Time APG, MD Secret Clearance Job Description: Provide administrative and operations support performing items such as reception, file management, word processing, scheduling, database maintenance, document preparation, technical writing and documentation, development of deliverables, meetings, and conference support. Maintain the calendar, travel documentation (including Defense Travel System), update travel status, prepare official documentation/correspondence IAW AR 25-50 and arrange for meetings of organization. Manage scheduling of conference rooms; maintain conference room SharePoint calendar, arrange for teleconference support, set up conference room, ensure copier and printer equipment is operational and coordinate maintenance, as required. Assist with operations in supporting office functions and events, including but not limited to change of charter ceremonies. Coordinate with Government employees and other contractor personnel throughout the organization to staff, draft answers, and track taskers and suspense's to ensure a timely response IAW assigned suspense date. Assist with managing office needs, monitor space requirements, manage telephones, and telephone accounts, order and sustain office supplies, ensure office equipment is operational and coordinate office equipment maintenance, as required. Office equipment includes but is not limited computers, telephones, and video-teleconference equipment. Personnel management, growing the staff professionally, enabling the staff to take/receive required training to ensure they are prepared to meet annual performance objectives and achieve professional growth. Coordinates VIP visits. Prioritizes ordering of office supplies. In/Out-Processing of Personnel. Support organizational-level operations. Maintain operations functional policies and procedures and communications (EXSUMS, Info Papers, Briefings, etc.) Archive operational documents and information. Manage Property of Fort Belvoir personnel, including sub-hand receipts and the turning in of Property. Provide backup for the 06 Lead Admin as needed. Qualifications: Bachelors of Arts or Bachelors of Science from an accredited college or university - with 2-4 years of relevant professional experience Experience in government contracting or supporting a government office. Ability to manage status reporting and scheduling, able to multi-task with different projects/tasks. Experience with Microsoft software to include Excel, Word, PowerPoint, and Outlook calendars. Excellent oral and written communication skills. Excellent interpersonal and organizational skills. Must possess a Secret Clearance.
