Primary Accountabilities:


We are seeking a highly organized and detail-oriented Submittal Clerk to join our team at Fort Johnson, LA. The ideal candidate will be accountable for ensuring the efficient and accurate management of the submittal process throughout the project lifecycle. This role involves overseeing the timely submission, review, and approval of all required documents to ensure compliance with US Army Corps of Engineers (USACE) standards and project specifications. The incumbent is responsible for maintaining clear and effective communication among all project stakeholders, facilitating the smooth execution of submittals, and upholding the highest standards of accuracy and compliance.


Primary Responsibilities:

  • Coordinate Documentation: Collaborate with project managers, engineers, subcontractors, and vendors to gather necessary documentation for submittals.
  • Review Submittals: Thoroughly review submittal packages for completeness, accuracy, and compliance with project specifications and requirements.
  • RMS Data Entry: Input submittal data into the Resident Management System (RMS) accurately and efficiently, ensuring up-to-date records.
  • Record Maintenance: Maintain organized and comprehensive records of all submittals, including tracking logs, approval statuses, and relevant correspondence.
  • Facilitate Communication: Serve as the primary point of contact for communication regarding submittal status, revisions, and approvals among project stakeholders.
  • Report Preparation: Assist with the preparation of reports and documentation as needed for project meetings and audits.
  • Compliance Monitoring: Stay updated on project requirements, guidelines, and procedures related to submittals, ensuring adherence to USACE standards.
  • Team Support: Provide support to the project team as necessary to ensure project success and compliance with USACE standards.
  • Additional Duties: Perform other duties as assigned to support project objectives and ensure the overall success of the construction project.
Requirements:


Requirements:

  • Minimum of one year of experience working as a Submittal Clerk on construction projects, preferably with experience on USACE projects.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience using project management software.
  • Familiarity with the Resident Management System (RMS) and at least one year of hands-on experience using RMS for project documentation.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Strong communication skills, both verbal and written, and the ability to collaborate effectively with cross-functional teams.
  • Knowledge of construction industry standards, terminology, and documentation processes.
  • Ability to work independently with minimal supervision and prioritize workload to meet deadlines.
  • Willingness to learn and adapt to changing project requirements and software systems.
  • High school diploma or equivalent required; additional education or certification in construction management or related field preferred.
