Description
The Donor Services Associate is primarily responsible for maintaining an accurate, accessible and up-to-date records system for over 100,000 records and over one million documents related to both alumni and non-alumni. This position serves as the primary resource for training staff and students on usage of the imaging system. The Donor Services Associate verifies the daily deposit and serves as a backup for the daily deposit of gifts.

- Manage an electronic central records system by scanning, verifying, and indexing hard copy files for over 100,000 records and over one million documents. This includes donor and alumni correspondence, gifts, and other documents.
- Maintain confidentiality and scan gifts with an understanding of PCI compliance.
- Scan, prepare, and index daily deposit files for gift processing.
- Serve as backup staff for completing the daily bank deposit of gifts to Berea College in compliance with the Gift Acceptance Policy, IRS regulations, and internal auditor requirements.
- Provide imaging system and CRM training and support to staff and students. This includes preparing and maintaining training documents for users.
- Perform standard verification process for daily deposit.
- Work with appropriate staff to keep all computers, scanning equipment, and software in excellent working condition.
- Complete other Donor Experience and Services projects including data entry.
Other roles/duties will be assigned as necessary to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty and students.
Typical Qualifications
Education required to ensure success in this position:
- High School Diploma or equivalent
Experience required to ensure success in this position:
- 3 years in a professional office setting, preferably in maintaining electronic files
Special skills, knowledge and abilities:
- Understanding and appreciation for the Berea College purpose and Great Commitments, including the tremendous impact philanthropy has on the ability of the College to achieve its mission to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty and students
- Computer competency required, database experience preferred as well as with Microsoft Office Products.
- Must be detail oriented
- Strong organizational skills
- Ability to interact in a positive manner with co-workers in a collaborative team environment
- Must be willing to support signature events in the Alumni, Communications and Philanthropy division
License, certification, or registration necessary:
- Valid Driver's License
- Required background checks

- Ability to navigate campus/public buildings and grounds
- Ability to occasionally lift up to 20 lbs.
