Department Information

University Enrollment Services (UES) supports the academic and student services missions of Indiana University by developing, coordinating, and managing university-wide shared services in the areas of admissions and transfer operations, financial aid, student records and data management, and military and veteran affairs. UES works closely with campus-based partners to enhance customer service; implement best practices; drive student-related technology development; comply with federal, state, and institutional guidelines; and support their overall enrollment and retention goals. This team uses data to identify new opportunities and to prioritize work, which drives innovation and creates efficiency across the University.

Job Summary

Department Specific Responsibilities

  • Responsible for design, develop and enhance reports and queries to support financial aid operations using a variety of institutional data files and tables (i.e. student records, course enrollments, admissions, financial aid, and student financials).
  • Performs coordination, analysis and systems tasks to include report design and programming, ad hoc reporting, data testing and report and process documentation.
  • Supports and responds to the reporting needs of the Financial Aid Team.
  • Collaborates with others to insure data accessibility and integrity.
General Responsibilities
  • Serves as point of contact for students and associated individuals about financial aid and/or scholarship information and processes.
  • Oversees financial aid and/or scholarship activities such as outreach, reporting, and monitoring; updates and maintains student records.
  • Prepares and presents information regarding federal financial aid, scholarships, employment and grants for various campus groups, high school students and parents at meetings, group discussions, workshops, and recruitment sessions.
  • Evaluates unusual/mitigating circumstance documentation or information provided by the student; exercises judgment by adjusting or revising costs, contribution, need, or dependency status as exceptions to the prescribed process.
  • Analyzes various system generated reports such as grades and enrollment status or award status to verify continued compliance and eligibility of students receiving aid/scholarships under federal, state, and institutional guidelines; notifies students of changes in eligibility of awards and suggests corrective action to restore award eligibility.
  • May hire, train, and supervise student employees.
  • Provides guidance to other financial aid/scholarship specialists; makes process recommendations for improved operational efficiency.

EDUCATION

Required
  • Bachelor's degree in business, public policy, or related field
WORK EXPERIENCE

Required
  • 5 years in student services, higher education student affairs, business, or related field. Experience working with complex data and/or records services in a team environment preferred.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
