Department Information

The Indiana University Department of History teaches almost 5000 undergraduates annually in courses about subjects ranging from Ancient Greece to contemporary China. In small seminars and lectures, our students learn directly from a distinguished faculty of 50 professors. In internships, career workshops, and independent research projects, IU History undergraduates prepare for careers in business, law, education, public service, and the arts, among other fields.

Job Summary

Department-Specific Responsibilities

  • Serves as graduate admissions and placement coordinator for the Department of History as an information specialist.
  • Works with prospective students and constituents to interpret and convey University, College, and departmental policies and procedures related to graduate admission.
  • Reviews and evaluates application materials for a large volume of applicants to determine whether information is accurate and complete; communicates with applicants to resolve discrepancies.
  • Liaises with DGS and Graduate School to arrange fee waivers and invitation codes.
  • Maintains admissions files on both the department s hard drive and on the secure, web-based file-sharing site (e.g., OneDrive); digitizes and uploads any hard-copy application materials to appropriate program and subfield areas.
  • Works with faculty reviewers to ensure that all files have been reviewed and comments recorded correctly.
  • Prepares spreadsheets for admission committees. Creates complex, and individualized itineraries for recruitment visits.
  • Works closely with the DGS and Graduate Coordinator to compile data for reports on applications and admissions.
  • Works with the DGS, other History staff, and current graduate students to help organize the annual graduate spring recruitment event.
  • Submits requests for recruitment funding to Graduate School or the College.
  • Communicates admit admission and denial information to all applicants and fields follow-up inquiries; updates application system accordingly.
  • Counsels current graduate students on department placement procedures; establishes and maintains placement files as requested and submits letters to prospective employers.
  • Other tasks as assigned.
General Responsibilities
  • Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
  • Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
  • Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains electronic records and databases.
  • Provides directions, support, and information to student organization representatives and other visitors to the department.
  • Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
  • May assist with ordering or creation of promotional materials for student organizations or departmental needs.
  • May provide guidance to other Student Services Coordinators.

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED)

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
