Job description

Real Estate Legal Secretary
Pay Depends on Experience


Supports attorney in the preparation and management of real estate transactions, including sales, acquisitions, leasing, and financing. This role requires excellent organizational skills, attention to detail, and familiarity with legal procedures in the real estate sector.

Key Responsibilities:
  1. Document Preparation:

    • Draft, format, and proofread legal documents, including contracts, leases, deeds, closing documents, title policies, and mortgage documents.
    • Prepare correspondence, memoranda, and other legal paperwork as directed by attorneys.
  2. File Management:

    • Maintain organized filing systems for real estate transactions.
    • Manage physical and electronic files, ensuring that documents are up-to-date and easily accessible.
    • Monitor deadlines and manage case files for timely filing and compliance with legal requirements.
  3. Transaction Coordination:

    • Assist attorneys in coordinating real estate closings and transactions, including preparing closing documents and reviewing contracts.
    • Communicate with clients, title companies, lenders, and other parties involved in real estate transactions.
    • Schedule meetings, conference calls, and closing dates, and maintain calendars.
  4. Title and Document Research:

    • Conduct title searches and gather information regarding property ownership, liens, encumbrances, and other legal issues.
    • Order title commitments, surveys, and other necessary documentation from title companies.
  5. Client Communication:

    • Act as a liaison between attorneys, clients, real estate agents, lenders, and other parties involved in the transactions.
    • Respond to client inquiries and provide updates on the progress of their cases.
  6. Administrative Support:

    • Handle administrative tasks such as answering phones, managing emails, and maintaining office supplies.
    • Prepare expense reports and coordinate travel arrangements for attorneys as needed.
Qualifications and Skills:
  • Education: High school diploma or equivalent required; a legal secretary certificate or associate's degree is preferred.
  • Experience: Previous experience as a legal secretary, particularly in real estate law, is highly desirable.
  • Technical Skills: Proficiency in legal software (e.g., Clio, MyCase), Microsoft Office (Word, Excel, Outlook), and document management systems.
  • Attention to Detail: Strong proofreading and editing skills to ensure accuracy in legal documentation.
  • Time Management: Ability to manage multiple tasks, prioritize work, and meet deadlines in a fast-paced environment.
  • Communication: Excellent verbal and written communication skills.
  • Confidentiality: Ability to maintain strict confidentiality in all legal matters.
Working Conditions:
  • Full-time position with potential for overtime during busy periods (e.g., real estate closings).
  • Office-based role with standard business hours, though some flexibility may be required.
