GENERAL SUMMARY:

The Medical Staff Coordinator is responsible for overseeing the administrative functions related to medical staff operations, including credentialing, onboarding, scheduling, and compliance. This role ensures that the medical staff are efficiently supported, and that all regulatory and organizational standards are met.

ESSENTIAL FUNCTIONS:

1. Credentialing and Licensing:

o Manage the credentialing process for new hires and re-credentialing for current staff, ensuring compliance with hospital policies and regulatory requirements.

o Verify licensure, certifications, and professional qualifications of medical staff.

o Maintain up-to-date records and documentation for all credentialed staff.

o Provides physician reference letters for other hospitals and entities.

2. Onboarding and Orientation:

o Coordinate the onboarding process for new medical staff, including orientation programs and initial training.

o Facilitate the integration of new hires into the facility, ensuring they are familiar with policies, procedures, and operational protocols.

3. Scheduling and Staffing:

o Develop and coordinate schedules for medical staff to ensure adequate coverage and efficient use of resources.

o Address scheduling conflicts, absences, and other staffing issues in a timely manner.

4. Compliance and Documentation:

o Ensure that all medical staff comply with relevant regulations, including those related to patient safety, infection control, and continuing education.

o Maintain accurate records of staff performance, certifications, and compliance with continuing education requirements.

5. Communication and Coordination:

o Serve as the primary point of contact for medical staff regarding administrative and operational issues.

o Facilitate communication between medical staff and other departments to ensure smooth operations and resolution of issues.

6. Reporting and Analysis:

o Prepare reports on staff credentials, compliance, and performance metrics as required.

o Analyze staffing needs and trends to support decision-making and improve efficiency.

o Assigns chart reviews to physicians generated as a result of QA & RM reports, mortality, etc.

7. Support and Assistance:

o Provide administrative support to medical staff, including handling inquiries, processing documentation, and assisting with various tasks as needed.

o Prepares agenda and materials for meetings.

o Assist with special projects and initiatives related to medical staff management.

o Assists the Medical Director and provides support coverage to Administration.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Associate's degree in healthcare administration, business, or a related field; Bachelor's degree preferred.

Minimum of 2-3 years of experience in a healthcare administrative role with a focus on credentialing, staffing, or medical office management.

Certification in medical staff services (e.g., Certified Professional Medical Services Management - CPMSM) is a plus.

Ability to effectively manage time and prioritize workload.

Commitment to cultural humility and cultural safety.

Excellent written and oral communication skills.

Must possess the ability to maintain confidentiality and be detail oriented.

Excellent ability to organize, prioritize, and follow through.

Proficiency in office software (e.g. Microsoft Office Suite) and medical management systems.

Knowledge of healthcare regulations and credentialing process.
