Job description

Overview Part-Time DNI is seeking to hire a detail-oriented Project Coordinator to support the Public Health Institute Corporation (PHIC) Office of Science (OS). This role will focus on coordinating various projects related to the State, Tribal, Local, and Territorial (STLT) Generic Information Collection (GenIC) and Science Seminars. The ideal candidate will demonstrate strong organizational skills, effective communication abilities, and a proactive approach to problem-solving. Responsibilities STLT GenIC Coordination: Maintain and manage the intranet SharePoint site for STLT GenIC coordination, ensuring up-to-date information is available. Track and maintain records of all requests for STLT GenIC usage. Review incoming request forms from agency customers to assess eligibility and requirements for STLT GenIC utilization. Conduct weekly meetings with PHIC OS staff to address and resolve any issues related to current requests. Collaborate with CDC GenIC requestors to clarify and understand incoming requests as needed. Develop and maintain communication materials to enhance customer support and facilitate the request process. Science Seminar Coordination: Coordinate all aspects of seminar planning, including identifying topics, securing speakers, and confirming staff availability. Collaborate with the Office of the Director (OD) to organize the seminar 'run of show' logistics. Provide technical assistance during seminars conducted via Microsoft Teams or Zoom, serving as the host to manage technical functions, present PowerPoint slides, and monitor audience engagement. Create and distribute promotional materials for seminars, ensuring coordination with Creative Services for accurate updates to flyers, and with PHIC ADS and Deputy ADS for promotional messaging. Oversee post-seminar activities, including: Developing and distributing electronic post-seminar surveys, summarizing feedback into a Post-Seminar Report. Ensuring that PowerPoint slides are compliant with 508 standards and coordinating their upload to the Science Seminar page. Compiling attendance reports and sending thank-you emails to speakers promptly. Obtaining and arranging for closed captioning of Zoom/Teams recordings as required. Qualifications Bachelor's degree in a relevant field or equivalent experience. Previous experience in project coordination, particularly in a public health or academic setting, is preferred. Proficiency in Microsoft Teams, Zoom, and SharePoint. Strong organizational skills with attention to detail and ability to manage multiple tasks simultaneously. Excellent written and verbal communication skills. Ability to work collaboratively with diverse teams and stakeholders. Familiarity with public health principles and practices is a plus. Work Environment: This position may involve remote work with occasional in-office meetings or events. Flexibility in hours may be required to accommodate seminar schedules and stakeholder availability.
