Global Real Estate Portfolio Administrator

Location: Atlanta, GA or Cincinnati, OH (Hybrid Onsite)

Duration: 3 Months CTH - Full Time (40 hours wk/duties)

Max Rate: $35/hr on W2

65% Lease Admin, 25% Asset Management, 10% Financial Analysis

This senior associate level role is being established to focus on daily operations and help enable our real estate strategy.

The position is central to the efficiency and effectiveness of the entire global Real Estate, Facilities, Project Management and Corporate Security teams.

The Lease Administrator is responsible for providing financial modeling of leases, capital projects, and scenario planning as well as manage leases, subleases, coworking agreements and contracts as required to support the Global Real Estate, Facilities, Project Management & Corporate Security teams. This role will administer all Coworking Membership programs.

In partnership with the Corporate Security Systems team, helps to develop interactive dashboards and visualizations to present data clearly and concisely that help our leaders understand the key metrics, track performance, and identify opportunities for best-in-class real estate.

The role includes, but not limited to, lease and sublease abstracting, providing detailed documentation for rent payments, sublease invoicing and tracking, desk audits, tenant improvement tracking, database management, and document management. This role will also be responsible for managing and the administration of Real Estate, Facilities and Corporate Security procurement activities and contracts.

This position will work closely with Real Estate, Facilities, Project Management and Corporate Security Risk Manager to ensure compliance with company policies and legal regulations; as well as, coordinate with various departments to meet their contract and procurement needs.

Essential functions of the job:

Serve as primary Lease Management contact

Responsible for Lease Administration duties including Review, Abstraction, and "System Data Management".

Reporting, Review & Reconciliation of Monthly Statements. Monthly Rental, Ancillary and Tax payments, creation of FASB - ASC 842 Schedules.

Lead for assumption of RE payments during conversion of accounting systems.

Financial - Requires knowledge of financial terms and principles.

Able to forecast and prepare budgets.

Conducts complex financial/business analysis including the preparation of complex reports.

Creates and manages departmental budgets with Leadership.

Ability to comprehend, analyze, and interpret various types of business documents.

Oversee the preparation of lease abstracts for accuracy.

Conduct analysis of leased and owned portfolios.

Review department financial reporting.

Prepare, design and distribute monthly and quarterly reports accurately and timely and prepare ad hoc reports as required.

Serves as a trusted advisor to internal Real Estate, Facilities, Project Management & Corporate Security functions

Participates in Real Estate, Facilities, Project Management & Corporate Security best practices initiatives to enhance an environment of learning and career development.

Partners successfully with finance, accounting, legal and procurement teams

Responsible for handling and processing real estate business licensing.

Monitor supplier performance and prepare regular reports on performance to Leadership.

Create and process purchase orders, requisitions, and contract documents.

Administration of contract lifecycle, including renewals, amendments, and terminations.

Conduct market research to identify potential suppliers.

Support RFP processes.

Maintain accurate and organized records of contracts and activities.

Ensure compliance with applicable laws, regulations, and internal policies.

Resolve any issues or discrepancies related to procurement and contracts.

Other duties assigned as needed.

Work Environment:

- Full-time position, typically office-based with some flexibility for remote work. (Location: Cincinnati preferred).
