Job description

Are you a detail-oriented professional with a strong understanding of financial processes and a passion for accuracy? We are seeking a talented Accounts Payable Specialist to join our dynamic team. In this role, you will play a crucial part in ensuring the timely and accurate processing of vendor invoices while utilizing your financial analysis skills to identify cost-saving opportunities and streamline our accounts payable operations.

SUMMARY: Responsible for oversight of accounts payable and assisting the CFO with financial analysis while ensuring strong processes and efficiencies are in place and upheld for accuracy. This position requires the ability to perform in a high paced work environment, be a team player, work well under pressure and have great communication and interpersonal skills.


KEY RESPONSIBILITIES:

  1. Saving costs by monitoring expenses and refining core processes within the accounting area.
  2. Maintaining a high level of awareness for any fraudulent activities.
  3. Manage the reconciliation of purchase orders to invoices and resolving of discrepancies.
  4. Ensure and verify the approval of invoices to confirm they are properly documented and coded with the general ledger account number and verify that inventory receipts are matched to the purchase orders and invoices.
  5. Processing and posting of wire payments
  6. Quality processing of ledger activities for smooth month-end closings.
  7. Year-end 1099 preparation and filing
  8. Monthly payments for 457 Plan, land lease and insurance and Non Fair Event Settlements.
  9. Support the CFO with the monthly financial statement process and annual audit,
  10. Calculation and preparation of monthly utility accruals and payroll accruals.
  11. Monthly Bank Reconciliations
  12. Monthly Capital Report
  13. Monthly Profit & Loss Reporting
  14. Monthly Accounts Receivable Reconciliation
  15. Various Monthly Balance Sheet Reconciliation
  16. Responsible for Fixed Assets and Depreciation
  17. Responsible for paperwork on company vehicles and equipment.
  18. Assist Staff as needed

FAIR RESPONSIBILITIES:

  1. Run daily and hourly Fair attendance reports.
  2. Support strong processes in the preparation of all entertainment, livestock, contract, and ride commission checks for timely payment.
  3. Help with the daily settlement process as needed.
  4. Various additional duties as needed.

QUALIFICATIONS/EDUCATION/CERTIFICATIONS:


Bachelor's Degree in Accounting/Finance. Three to five years working in accounting with specific experience with accounts payable, financial statements, and closing of G/L.


KNOWLEDGE, SKILLS AND ABILITIES:


  • High level of organizational skills and attention to detail
  • Strong computer skills with Microsoft Office (Word, Excel)
  • Knowledge and experience with an corporate level/quality accounting system. Experience with an accounting program that integrate with a contract management system is a plus.
  • Good written and verbal communication skills
  • Strong work ethic and values
  • Quality Math skills (calculate figures/discounts, proportions, area, etc.)

PHYSICAL DEMANDS/WORKING CONDITIONS:


Most duties are performed in an office setting. Operates computer and standard office equipment, such as telephone and copier/printer. Must have ability to stand, sit, hear, taste/smell, use hands, walk, talk, reach with hands and arms, and have the ability to visual depth perception. Also need to have the ability to stoop, kneel, crawl and crouch, climb or balance, and lift or move more than 20 pounds. There is occasional exposure to environmental demands including wet/humid weather, working in high, precarious places, being exposed to fumes or airborne particles, toxic or caustic chemicals; extreme temperatures (non-weather), and risk of electrical shock. There is also work near mechanical parts, exposure to fumes or airborne particles, and exposure to outdoor weather conditions.
