INDUS provides administrative and other office support services to offices in the Naval Surface Warfare Center, Panama City (NSWC PCD) Littoral & Mine Warfare Systems Department - (Code A), Expeditionary & Maritime Systems Department (Code E), and Science & Technology Department (Code X). Reporting to the Program Manager, the Secretary I provides administrative, telephone and receptionist, and other clerical support to NSWC PCD programs on the NSWC PCD Corporate Operations contract. Provide Administrative Assistant support to assigned branch or department. This position is located in Panama City Beach, FL. What You'll Do Provide telephone and receptionist services. Receive all visitors and incoming telephone calls. Determine the nature of call or business of visitors and take appropriate action. Refer business matters and visitors to appropriate Government office personnel. Identify need for office supplies, repairs on office equipment, and printing services. Reserve conference rooms for meetings. Manage office electronic calendars. Maintain records, files, statistical data, and suspense system. Prepare civilian personnel actions and help track background clearance checks. Use Microsoft Outlook to send and retrieve messages. Prepare office monthly reports. Attend office meetings to become cognizant of office requirements, functions, and events. Input data into the NSWC PCD Procurement Request Form (PRF). Organize Government travel and the completion of DTS documentation to include training, operation, and administration. Prepare travel orders, visit request forms, and enter required data into required systems. Provide account or appropriation information to support the development of travel status reporting. Forward security clearance and visit request documentation to the necessary offices. Set up and organize filing systems. File documentation and maintain office-filing systems. Receive and distribute incoming correspondence. Edit outgoing correspondence and reports for format, grammar, and punctuation. Use Microsoft Office in preparing a variety of correspondence, memorandums, briefings and other reports required for day-to-day office operation. Write simple, repetitive, non-technical correspondence, complex correspondence, memoranda, reports, white papers, or other documents using Microsoft Office products. Organize the flow of clerical processes in the office and in subordinate offices. Support the maintenance of existing databases such as plant and minor property by researching and collecting data, and entering, maintaining, and updating the data in various spreadsheets or databases. Archive official records as needed. Bid and proposal support if requested. Other duties as assigned. What We're Looking For Required Qualifications: US Citizenship Required An active secret clearance or ability to obtain and maintain is required to be considered for this position. HS Diploma required. At least one (1) year of administrative support experience is required. Demonstrated experience using Microsoft Office Programs (Outlook, Word, Excel, and PowerPoint). Must be able to remain seated in a stationary position 50% of the time. Must also be able to alternate between sitting, standing, and walking. Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future. Must possess basic computer literacy and data entry skills. Demonstrated proficiency in Microsoft Office applications (to include MS Word, Excel, PowerPoint, etc.). Strong attention to detail and organizational skills. Excellent verbal and written communication skills. Demonstrated problem-solving skills. Must possess strong time management skills. Must be able to work in a fast-paced, changing, and challenging environment. Desired Qualifications: Experience supporting the US Navy desired.
