Job description
Position Summary:
The Director of Corporate Events Strategy and Planning will be responsible for strategizing, planning, executing and measuring the success of a variety of corporate events and symposiums within the healthcare sector in multiple markets including but not limited to - Orlando, Tampa/St. Petersburg, Alabama and the Caribbean. Events in this role include corporate training, physician networking, clinical symposiums, board events, grand opening celebrations, vacation events and other healthcare-related events.
This role requires a strong background in event management, contract negotiations, exceptional organizational skills, and a deep understanding of the healthcare industry.
The director will be adept at managing multiple projects simultaneously, leading cross-functional teams, and ensuring that all events are executed seamlessly and in alignment with our organizational goals and objectives.
Responsibilities:
• Develops, plans, implements, and measures the success of all corporate events specific to the audience and the market intended.
• Develops meaningful relationships that foster trust with multiple teams including senior, physician, hospital, foundation, and marketing leadership.
• Understands the capabilities on how to telecast event in multiple locations, and how to stream educational events to physicians across the nation and internationally.
• Directs all aspects of event planning including venue selection and contracting, catering, logistics, scheduling, programming, audiovisual needs, registration, transportation and coordination with vendors and stakeholders.
• Assists physician relations with completion of the CME and gathering of supporting documentation and assists with preparing a resonating description of the event to be used in promotion.
• Oversees the approval process with the CME office from filing of application to final approval.
• Prepares and manages event budgets, ensuring cost-effectiveness while maintaining high standards of quality.
• Ensures content is relevant and engaging for the target audience.
• Acts as the primary point of contact for all event-related inquiries.
• Ensures that all events are executed smoothly and efficiently.
• Works with key stakeholders to assign measurable goals of each event, and tracks and reports accordingly.
• Conducts post-event evaluations to assess the success of each event.
• Ensures all events comply with relevant regulations, industry standards, and organizational policies.
• Stays informed about industry trends and best practices.
• Creates and manages all events in marketing's project management system - WorkFront.
• Works with the marketing team on the production of all event materials (printed and electronic), including save the dates, invitations, brochures, and onsite materials with the appropriate marketing or corporate leaders.
• Provides monthly reporting of event activities to marketing and corporate leadership.
• Handles internal promotion as necessary, including securing leaders' calendars, inclusion on intranet, email distribution, etc.
• Manages all event day logistics and ensures there is sufficient representation and assistance at the event.
• Attends the event and serves as the onsite events manager to ensure team is prepared and knows their roles.
• Manages all post event logistics, such as teardown, and ensures any necessary communication is complete.
• Schedules and facilitates post-event debrief with the planning team to identify strengths and weaknesses as well as opportunities for improvement in the execution of future events.
• Develops, maintains, and communicates the annual calendar of events for strategic communications.
• Controls the inventory of event materials such as banners and displays.
• Determines material that will best support the brand message for the event and assigns inventory to events based on priority.
• Prepares and submits applications for sponsorship.
• Sources and purchases branded giveaways based on expected attendance.
• Effectively manages team members and outside vendors.
• Collaborates with the OH Foundation and/or Community Relations on co-sponsored events.
• Stays up to date on the latest trends in events, including online and streaming even capabilities.
• Manages logistics as necessary with event sponsor(s) and other outside vendors.
• Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA, and other federal, state, and local standards.
• Maintains compliance with all Orlando Health policies and procedures.
Other Related Functions
• Regularly analyses and evaluates the effectiveness of all assigned events and projects.
• Maintains growth and development through seminars, workshops, software education, and publications to keep abreast of trends in the field.
Qualifications:
Education/Training
• Bachelor's degree in event management, marketing or related field is required.
• Bilingual (Spanish) a plus.
Licensure/Certification
• Valid Florida driver's license and must be insurable under the Orlando Health insurance carrier's requirement and standards.
• Event Planning Certification is a plus.
Experience
• Seven (7) to ten (10) years of event experience in business environment with increasing responsibility.
• Proven organizational, communication and facilitation skills.
