Job description

The Secretary III This position requires an active Secret clearance. The Secretary III will be responsible for performing various secretarial duties, including filing, typing, and copying documents. They will handle phone calls, greet and escort visitors, arrange meetings, and compile information for routine reports. Additionally, the Secretary III will prepare travel orders, handle travel accommodations, and maintain office supplies. Compensation & Benefits: Estimated Starting Salary Range for The Secretary III: $33.26 per hour (SCA) Pay commensurate with experience. Full time benefits include Medical, Dental, Vision, 401K and other possible benefits as provided. Benefits are subject to change with or without notice. We are not actively hiring for this position, we are anticipating future need The Secretary III Responsibilities Include: Answering telephone calls and receiving/meeting/escorting visitors, referring to appropriate staff members if necessary. Setting up appointments, meetings, and arranging conference rooms through the Departments Reserve! T platform. Managing files and records, preparing files for archiving or destruction based on the records disposition schedule. Performing scanning, document preparation, and routing tasks. Downloading materials from computer, internet, and intranet sources. Sending and retrieving materials by facsimile. Coordinating the delivery and pickup of materials and packages. Copying and collating documents and other materials. Preparing Time and Attendance into the Department's electronic filing system (WEB TATEL). Handling travel orders, arrangements, and vouchers through E2 Solutions. Managing travel arrangements for domestic and overseas trips. Drafting country clearance requests. Serving as the first point of contact for SharePoint sites and updating program office SharePoint Bureau page and office directories. Finalizing and delivering documentation for the 7th-floor Principles. Monitoring all cable traffic through SMART. Compiling annual performance appraisals for civil service and foreign service documents into the ePerformance HR database. Ordering office supplies as needed and coordinating pickup with the Supply Coordinator. Providing logistical support for internal conferences and meetings. Preparing work orders for office services/supplies and coordinating with the General Services Officer. Maintaining the calendar for office management, arranging appointments, handling meeting requests, and preparing meeting briefs. Recording minutes from meetings and preparing briefing materials. Creating standard operating procedures related to office administration. Updating office management information such as seating charts, organization charts, phone lists, and welcome books. Performs other job-related duties as assigned. The Secretary III Experience, Education, Skills, Abilities requested: High school diploma and one (1) to three (3) years of equivalent office management experience OR a two-year college degree in Office Management, Business Administration, Computer Technology, or related field with two years of office management experience. Active SECRET Security Clearance. In-depth knowledge of Microsoft Office Suite. Excellent customer service and multitasking skills. Ability to maintain or adhere to client schedules or SOPs Ability to work with personnel at all levels and operate courteously and tactfully. Knowledge of establishing travel arrangements via E2 Systems. Required E2 knowledge Working knowledge of State Department travel policies. Required Ability to act as a security/escort for department personnel Excellent communication skills.
