  • Specific Details around travel including locations, frequency, different locations throughout the same day, etc. No regular travel will be required. There might be limited travel for offsites if support is needed. Offsite support may occur up to 2-3 times a year.

  • Required Level of Education and Preferred Level of Education: High School Diploma or GED, or equivalent AND minimum three (3) years of experience working in a corporate or business office environment OR Minimum four (4) years experience working in a corporate or business office environment.

  • How many years of related experience are you looking for in your ideal candidate? Minimum two (2) years of experience in Communications, Business, Health Care, or a directly related field.

  • Specific Systems Knowledge Required: Outlook, Microsoft Teams, Word Doc, PowerPoint and Excel.

  • Specific Systems Knowledge Preferred: Visio

  • Expected Shift: 8am-5pm

  • Interview Process: 2 interviews. One via teams and one in person.

    The Administrative Assistant will provide comprehensive administrative support and project coordination for the department head, managers, and staff members. This position requires the ability to manage multiple tasks, prioritize efficiently, and handle confidential information with discretion. Key responsibilities include:

  • 10% - Communication and Visitor Management

    o Answer incoming phone calls, screen inquiries, take messages, and route calls to appropriate team members.

    o Greet and assist visitors, vendors, and external stakeholders, ensuring a positive and professional experience.

  • 60% - Supporting 4 Sr Leaders

    o Manage multiple calendars of Senior leaders, schedule meetings, and coordinate logistics.

    o Organize and execute special events, demonstrating a thorough understanding of event planning, logistics, and coordination.

    o Arrange travel, accommodations, and itineraries for the leader and other team members.

    o Process bi-weekly timekeeping for leaders' direct reports and prepare monthly expense reports for designated leaders.

    o Order meals for meetings and events as required.

    o Provide meeting support, including setting agendas, taking minutes, capturing action items, and ensuring timely follow-up and communication.

  • 15% - Event Coordination will be done in partnership with someone and under supervision of Manager

    o Assist in the coordination and execution of large-scale, medical center-wide events, including planning, logistics, ordering supplies, and event-day support.

    o Manage communication, scheduling, and overall logistics for events to ensure a seamless experience.

  • 15% - Miscellaneous Administrative Office Support

    o Perform various administrative tasks to support the hospital administration office, including ordering supplies, maintaining records, and completing special projects as assigned.

    o Other duties as directed by leadership to ensure smooth departmental operations.
