Our client, a national law firm, is seeking an experienced Legal Systems Administrator to join their team!
The Legal Systems Administrator is responsible for the comprehensive administration and maintenance of the Firm's legal applications and databases, with a strong emphasis on the Intapp suite, records management systems, and legal artificial intelligence tools. This role plays a critical part in ensuring the stability, security, and efficiency of these systems, thereby supporting the Firm's overall operational needs.
Responsibilities:
Oversees the administration and continuous operation of the firm's legal applications, ensuring high availability, reliability, and security standards are met.
Manages and configures legal applications (such as Intapp Intake, Intapp Terms, Intapp Integrate, FileTrail, etc.), ensuring seamless integration with other systems; optimizing for efficiency; and compliance with legal, regulatory, and firm policies
Supports and optimizes business processes, ensuring smooth and efficient operations.
Works closely with the professional and legal teams to understand requirements and implement solutions that streamline workflows.
Participates in the planning and design of disaster recovery strategies for all related systems.
Administers and maintains both on-premises and cloud-based SQL databases, ensuring data integrity, security, and availability.
Performs regular database backups, restorations, and maintenance to prevent data loss and ensure business continuity.
Monitors and optimizes database performance, identifying and resolving issues proactively.
Integrates, manages, and optimizes legal AI tools to enhance the firm's service offerings and operational efficiencies.
Provides technical support and guidance on the use of AI tools, ensuring that staff are well-trained and can maximize the tools' capabilities.
Provides expert-level support to end-users, resolving issues related to legal applications, databases, and AI tools promptly.
Troubleshoots and resolves system issues, coordinating with vendors and third-party support as necessary.
Implements and enforces data governance policies, data retention, and archival strategies.
Ensures compliance with relevant security standards and regulations.
Monitors database access logs and perform security audits to detect and mitigate potential risks.
Develops and maintains comprehensive documentation for all systems, including configurations, procedures, and workflows.
Conducts training sessions for legal and administrative staff on the effective use of legal applications, databases, and AI tools, ensuring adherence to best practices.
Implements and maintains stringent security measures to protect sensitive legal data, including data encryption, access controls, and regular audits.
Ensures all systems comply with applicable legal and regulatory standards, as well as internal policies.
Qualifications:
Bachelor's degree in Information Technology, Computer Science, or a related field is preferred.
Experience in a law firm or legal environment.
Extensive experience with Intapp suite (Intapp Intake, Intapp Terms, Intapp Integrate) and legal application administration.
Relevant certifications in database management, system administration, or legal technology.
Strong knowledge of new business and matter intake processes in a legal environment.
Proficiency in managing on-premises and cloud-based SQL databases, including backup, restoration, integration, and performance optimization.
Familiarity with records management systems and practices.
Excellent analytical and problem-solving skills, with the ability to work independently and as part of a team.
Strong communication and interpersonal skills, with the ability to interact effectively with technical and non-technical staff.
The position is primarily remote, with occasional in-office visits as required. Candidates must be located within a commutable distance to one of our offices.
