Arete is seeking an Administrative Services Supervisor to oversee the day-to-day operations and administrative functions across multiple departments. The Administrative Supervisor will ensure smooth and efficient management of key administrative processes while supervising a small team responsible for essential administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to coordinate effectively with IT, finance, and other corporate departments.
This position offers flexibility in location and can be based out of one of the following offices:
- Valparaiso, FL
- Falls Church, VA
- Huntsville, AL
- Niwot, CO
- Tucson, AZ
- Northridge, CA
Primary Responsibilities:
Team Leadership & Supervision
- Manage, supervise, and coordinate the daily activities of the administrative staff.
- Assign tasks, set performance goals, and monitor the progress of the team.
- Develop and implement policies, procedures, and standards to improve efficiency.
- Prepare and manage departmental budgets
- Monitor expenses and optimize resources to ensure cost-effectiveness.
- Act as a point of contact between upper management and administrative staff.
- Communicate organizational policies, changes, and strategic goals effectively to the team.
- Facilitate communication with other departments for smooth organizational workflow.
- Ensure that all customer service inquiries are handled promptly and professionally.
- Resolve issues related to administrative services and ensure client satisfaction.
- Maintain Company Credit Card: Monitor and manage all transactions, ensuring compliance with company policies.
- Maintain Petty Cash: Oversee petty cash transactions, ensuring proper documentation and reconciliation.
- Expense Reimbursements and Bill Payments: Process employee expense reimbursements and manage timely payment of vendor bills.
- Miscellaneous Charge/Check Requests: Handle miscellaneous charge requests and check requests efficiently and accurately.
- Catering and Meeting Set-Up: Organize catering and set up for customer and internal meetings, ensuring all logistical needs are met.
- Morale Events Management: Plan, manage, and execute morale-boosting events to enhance team spirit and company culture.
- Company Store Management: Oversee the operations of the company store, including inventory management and customer service.

- Minimum of 5 years of experience in an administrative or supervisory role, preferably in a corporate environment.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills to manage both internal team and external vendors.
- Proficiency in Microsoft Office Suite and experience with IT asset management systems.
- Demonstrated ability to monitor budgets and track expenses.
- Proven ability to lead and motivate a team while maintaining high standards of administrative efficiency.
- Experience with vendor management, contract negotiations, and IT systems administration preferred.

U.S. citizenship is required to meet position eligibility.
